RESERVATION INFORMATION

We encourage you to make your reservations by the earliest date possible. This is especially important as there are only a limited number of people accommodated on each Signature Series Motorcoach Tour. Remember, the great benefit of a Signature Series Tour is smaller more intimate group sizes.   In addition, tickets must be purchased and hotel reservations must be made months in advance.

REQUIRED DEPOSITS

Your deposit is due 7 days after making reservations by phone, mail, email or web. Confirmations will be mailed as soon as your deposit is received. We will gladly hold your tickets for 14 days after you make your reservation. However, if your deposit is not received during this period, tickets will be released and offered for sale to other customers.

FLY IN—MOTORCOACH TOURS:

Methods: Eagle Christian Tours accepts payments in the form of cash, personal check, or by credit card transaction for all motorcoach and/or fly-motorcoach tours.

TRIP GROUP COORDINATOR INCENTIVES

Trip Group Coordinator Support: Eagle Christian Tours is delighted to offer travel incentives for Trip Group Coordinators (see below). We also will supply Coordinators with the following tools: a step by step plan to promote the tour, custom advertising brochures designed specifically for your group, a variety of handouts, helps and aids to make your trip a success. Our Tour Designers will work in conjunction with Trip Group Coordinators, provided there is proper lead time, to customize the itinerary to include certain destinations and/or events that are of interest their specific group.

REFUND POLICY

***All 2013 Signature Series Tours come with a complementary Travel-X Medical Supplemental and Trip Cancelation & Interruption Insurance Policy

Refunds 100% for all covered circumstances (the policy is held by each individual traveler and not Eagle Christian Tours)

Policy only goes into effect when the trip is paid in full (not when the deposit is made)

 This Travel-X policy contains a pre-existing medical condition waiver (This is a very important distinction and is extremely valuable)

Motorcoach Tours: IF YOU HAVE NOT PURCHASED TRIP CANCELATION & TRIP INTERUPTION INSURANCE a full refund will be given on most motorcoach tours when cancellations are received prior to 45 days of the departure (refer to individual motorcoach tour itineraries for any exceptions). Cancellations within 44-30 days of the departure date will incur loss of deposit penalties. Cancellations within 29-0 days of departure will incur loss of deposit plus other penalties up to full cost of the tour. We strongly recommend you purchase cancellation & trip interruption insurance.  If you have trip cancelation & trip interruption insurance, you will be refunded 100% of your trip price if you cancel for any covered reason. Also, you will receive a prorated refund for the unused portion of your trip should a covered medical, family or business emergency arise while you are on tour. See policy for details.

Fly In—Motorcoach Tours: IF YOU HAVE NOT PURCHASED TRIP CANCELATION & TRIP INTERUPTION INSURANCE cancelation of these tours at any time will incur airline penalties. Loss of deposit will be incurred 74 to 45 days prior to the tour departure. Cancellations within 44-0 days of departure will incur loss of deposit plus other penalties up to full cost of the tour. We strongly recommend you purchase cancellation & trip interruption insurance.   If you have trip cancelation & trip interruption insurance, you will be refunded 100% of your trip price if you cancel for any covered reason. Also, you will receive a prorated refund for the unused portion of your trip should a covered medical, family or business emergency arise while you are on tour. See policy for details.

Important Items to Note:
Regardless of the reason, last-minute cancellations and transfers result in a costly process of letters, toll calls, record adjustments, refund checks, etc. plus loss of non-refundable tickets and accommodations. Refunds are not given on tours for attractions, meals, etc. for which individuals do not participate while on the tour.

When a roommate(s) cancels prior to the cancellation penalty date, the remaining person(s) will be charged the applicable accommodation rate for the number of persons occupying the room.

 

DISCOUNTS AND SPECIALS

Cash Discount: Pay trip in full with check or cash and earn a 3% discount

Early Bird Discount: Pay in full 6 months prior to departure with check or cash (no credit cards) and earn a 2% discount (may be added together with the 3% stated above for a total of 5% off, can be applied to most tours not previously discounted, call for details)

Frequent Traveler Discount: Travel twice (or more) in one year and get 10% off each subsequent trip (plus the 3% and 2% above if the criterion is met)

Travel Club Discounts: All 2013 travelers will become automatic members of the Eagle Christian Tours Travel Club and will receive special discounts on travel in future years, details will be given on your tour

Triple Occupancy Discounts: Triple room occupancy as listed on brochures is equivalent to 7% discount on all three tickets from the double occupancy advertised price

Quad Occupancy Discounts: Quad room occupancy is equivalent to 10% discount on all four tickets from the double occupancy advertised price

 

WHAT’S INCLUDED

Transportation: Round-trip transportation is provided for all Signature Series Tours via our spacious and impeccably maintained 102” wide-body Silver Eagle Motorcoach. Coach is equipped with restroom, air conditioning, adjustable seats & tray tables, DVD with HD flat screen LED monitors, Wi-Fi, galley, stereo, public address system, and tinted panoramic viewing windows. Seats have been stretched for 37% more leg room.

Meals: Meals are covered if so stated in the itinerary. The following codes describe what meals can be expected: B – Breakfast*, BR – Brunch, L – Lunch, D – Dinner
*Breakfast may be a full or a continental breakfast. Due to circumstances beyond our control, it may be necessary to substitute meals on different days of the itinerary. Every effort will be made to provide the number and type of meals described.

Sightseeing/Attractions: All sightseeing tours, guides, and admissions are covered in the tour price as outlined in the itinerary. (Tips to step-on guides are at your own discretion)

Accommodations:
 Your highly-rated Marriott property accommodations, as well as our other favorite hide-a-way lodging establishments are chosen on the basis of location, cleanliness and age, as well as the warm hospitality of their management and staff. We think you’ll be delighted with our selections. Room assignments are always made by the hotel/motel in an impartial manner.

Special Requests:
 Special requests such as for smoking/nonsmoking rooms, king size beds, side-by-side rooms, or seats close to your friends on the Motorcoach, need to be made when booking your touror at least 45 days prior to departure. We will do our best to honor your requests but in certain locations, special requests cannot always be honored.

Can I share a room?
 Persons traveling alone may request sharing a Double room. Making your reservations early will greatly aid us in helping you find a roommate. If we do not succeed, the single rate applies. Price per person will change when a roommate cancels and your accommodation type changes.

Luggage and Handling: Luggage is limited to one large sturdy bag (large duffle bags are not allowed) per person (45 lbs. maximum). Please no extra-large,  oversized  or trunk style bags – a good rule of thumb is…if you can’t lift it, then our driver can’t either…Driver and/or hotel bell staff can refuse to handle excessively heavy bags. Please follow the helpful instructions on how to pack in your reservations packet. You have the option of taking your own bag or having your luggage delivered if should you desire assistance. Your bag will be delivered to your hotel room upon arrival and picked up the morning of departure. One small flexible “carry-on” is allowed per person. This must be small enough to fit in the overhead rack above your seat. Large luggage-style “carry-ons” are not acceptable as they will not fit in the overhead compartments. Each “carry-on” is solely under the daily care of the passenger; therefore, it is to your advantage to make it as small as possible. Maximum size: 18” Wide x 12” Tall x 8” Deep. If your carry on can be zipped and closed completely, you may place it underneath in the front compartment in the mornings and pick it up when you exit the bus at the hotel.

Gratuities: All necessary tips to bellmen, doormen, and dining room tips on meals in the itinerary are included.

WHAT’S NOT INCLUDED

The tour price DOES NOT include: 
Gratuities to Tour Director and Driver: Gratuities are appreciated but should be extended on an individual basis, not as a group. The amount per person is always at your discretion.

Customary Motorcoach Tour Gratuities
$2.00 to $4.00 per person per day for Tour Director
$2.00 to $4.00 per person per day for Driver.

Gratuities for Step-on Tour Guides: Gratuities for step-on tour guides are at your own discretion.

Meals:
 Other than meals stated in the itinerary. Most hotels suggest that you give the breakfast attendant a gratuity when a continental breakfast is served.

Personal Expenses:
 Valet and room service, telephone calls and all other items of a personal nature.
Any additional expenses incurred due to flight delay or cancellation, weather conditions, political closures, technical faults, etc.

 

AIRFARE

Due to the volatility of Airline pricing and the varied departure points desired by our tour participants, all Airfare for Fly-In Motorcoach tours will be custom quoted based on your city of departure.

Included in the quoted flight price: Round-trip transfers from the destination airport to the hotel.

Not included: Many airlines now charge for your first checked piece of luggage. This fee and any excess baggage fees are not included in the ticket cost.

 

MOTORCOACH TOUR FAMILY DISCOUNT PLAN

This applies to Family Tour Series Only. Excludes Signature Series Tours and other special tours.
(Children under 5 years of age are not allowed on tours)

•Children 5-12 years of age and under pay 60% of the twin/double rate when staying in a room with 2 full paying (twin/double rate) passengers.
• Children 5-12 years of age and under pay 85% of the twin/double rate when staying in a room with 1 full paying (twin/double rate) passenger.
• Young adults ages 13-16 pay 75% of the twin/double rate when staying in a room with 2 full paying (twin/double rate) passengers.
• Young adults ages 13-16 pay 95% of the twin/double rate when staying in a room with 1 full paying (twin/double rate) passengers.

PICK UP INFORMATION

A special pick-up for a group depends upon the number of passengers, distance involved, and length of the tour. All special pick-ups must be approved by Eagle Christian Tours.
Our departure locations are doing you and Eagle Christian Tours a service by allowing us to use their establishments for arrivals and departures. Not all of these locations allow parking. If you must leave a vehicle parked while on tour, please check with someone at that pick-up point. Neither these locations nor Eagle Christian Tours are responsible should damage occur to your vehicle.

Please be at your departure point and visible at least 15 minutes prior to your scheduled departure time. At times, pick up points may be staggered across two or three locations for any given tour. You will be given detailed information 15 days prior to your tour about your departure/return point.

 

MEDICAL SUPPLEMENTAL, CANCELLATION & TRIP INTERRUPTION INSURANCE 

Medical Supplemental, Cancellation & Trip Interruption Insurance is highly recommended. Cancellation of tours results in costly penalties, especially when you cancel within 30 days of the departure date. If you have an emergency or illness while on the tour, trip interruption insurance can provide coverage for expenses incurred. You may purchase “Travel-X” Insurance through Eagle Christian Tours. The best time to purchase this insurance is when you make your final payment. This ensures eligibility for the Pre-Existing Conditions Waiver and Bankruptcy or Default coverage. This coverage may not be purchased after you make your final payment.
